A TenaCate is someone who belongs to and contributes to TenaHealth Initiative in line with its mission and values. Members may contribute through health education, advocacy, outreach, project implementation, communications, administration, professional development and other organizational activities.

Membership does not imply that every member is a health professional. All members should represent the initiative responsibly, respect confidentiality and follow approved guidance when communicating on its behalf.

Examples of community language
  • “Dear TenaCates, thank you for your continued commitment.”
  • “Calling all TenaCates! A new opportunity awaits.”
  • “Proud to be a TenaCate.”

Assigned functional dutiesEach member, within agreed responsibilities
Major expenditure and organizational commitmentsExecutive Director, following agreed approval procedures
Decisions affecting the whole teamExecutive Director consults the core team and documents the outcome

Departmental leads should manage routine activities within approved plans and budgets. Major decisions, significant expenditure, new partnerships and commitments made in the organization's name should follow an agreed approval process.

The leadership team should promote open communication, respect, constructive feedback and fair resolution of disagreements.

7. Meetings & Reporting System

Weekly or Biweekly

Review current tasks, deadlines, upcoming activities and challenges. Use brief virtual meetings or written updates.

Monthly Progress Reports

Each unit reports activities completed, results, challenges, relevant expenditure and plans for the next month.

Quarterly Leadership Review

Review organizational progress, community impact, member participation, funding opportunities and future priorities.

Shared Organizational Records

Maintain a central, access-controlled repository for plans, reports, budgets, meeting minutes and approved communication materials.

Records to Maintain

  • Meeting minutes and documented decisions.
  • Project proposals and work plans.
  • Budgets and expenditure records.
  • Activity reports and evidence of outcomes.
  • Partnership and stakeholder records.
  • Approved communication materials and brand assets.
  • Safeguarding and referral procedures.

8. Professional Conduct, Safeguarding & Confidentiality

All TenaCates should be expected to:

  1. Represent TenaHealth honestly and respectfully.
  2. Share health information responsibly and avoid unsupported medical claims.
  3. Respect privacy and obtain appropriate consent before sharing identifiable photographs, stories or personal information.
  4. Protect sensitive disclosures, particularly those involving mental health, reproductive health and personal circumstances.
  5. Avoid promising services, financial assistance or treatment the initiative cannot provide.
  6. Refer people to qualified professionals or appropriate services when needs exceed the initiative's scope.
  7. Disclose conflicts of interest and handle organizational resources responsibly.
  8. Communicate concerns and disagreements constructively.

Because TenaHealth works with sensitive health topics and may engage people across different age groups, written safeguarding and referral procedures should be developed as the initiative grows.

9. Organizational Growth & Future Expansion

The current structure is suitable for a small, volunteer-led initiative. New departments should be introduced when the workload, funding and number of active members justify them.

Health Education & Content

Educational materials, health insights and campaign content.

Communications & Media

Branding, social media, publicity and documentation.

Finance & Administration

Budgeting, financial records and administrative coordination.

Monitoring, Evaluation & Learning

Impact measurement, programme feedback and reporting.

Regional Coordination

Coordination of approved activities beyond the initiative's immediate area.

These are future possibilities, not current departments. Existing TenaCates may support these functions until separate appointments are justified.
